General Information

LINELE processes personal data to prepare offers, organise catering, delivery, event service and communicate with clients about submitted requests.

Data processing is carried out in accordance with Regulation (EU) 2016/679, also known as the General Data Protection Regulation, and other applicable laws.

What Personal Data We Process

We process only the data needed to prepare or provide the service, communicate with you or comply with legal requirements.

Contact details: name, surname, phone number and email address.
Delivery and service details: address, preferred delivery time, portion count, type of event or institution.
Company or institution data: name, contact person and details needed for invoicing or registration.
Catering request details: selected services, comments, menu preferences, allergies or dietary restrictions if you provide them.
Communication data: correspondence, requests and our replies.
Website technical data: IP address, browser information, visited pages, cookies and analytics data if such technologies are used.

Dietary and Health-Related Information

If you provide information about allergens, diets, health or dietary restrictions, we use it only to adapt the catering service and provide it safely.

This information is processed in a limited scope and only for as long as needed for the specific request or service.

Legal Basis for Processing

Depending on the situation, personal data is processed on one or more legal bases.

Performance of a contract or pre-contract steps, such as preparing an offer and organising catering.
Legal obligation, such as accounting, tax and other statutory requirements.
Legitimate interests of the controller, such as customer support, service quality improvement, security and request history management.
Your consent, for example when you voluntarily provide additional information or agree to a specific processing activity.

Purposes of Processing

Personal data is used for clear purposes connected with providing LINELE services.

Processing applications and contact forms.
Preparing offers and communicating about catering or delivery details.
Coordinating menus, portions, delivery schedules and special dietary requirements.
Organising events, banquets, coffee breaks, institution catering and home-meal delivery.
Preparing invoices, accounting and complying with legal requirements.
Improving website operation, security, usability and statistics.

Data Retention

Data is kept only for as long as needed for the relevant purpose or required by law. When the retention basis ends, the data is deleted or anonymised.

Contact form and request data: up to 2 years from the last communication if no contract is concluded and no longer term is needed.
Service and transaction data: for the period required by accounting and tax laws.
Communication history: for as long as needed to handle the request, resolve disputes or control service quality.
Analytics data: according to the settings of the analytics tools used and applicable requirements.

Sharing Data with Third Parties

We do not share personal data with third parties without a valid reason. Data may be shared only when needed to provide the service, comply with the law or maintain our systems.

To provide the service we use the processors listed below, who act only on our instructions under a data-processing agreement. Personal data is stored and processed in the EU/EEA (Hetzner, Finland).

Our team receives new-enquiry alerts in Telegram, and Telegram is located outside the EU/EEA. That alert carries your first and last name, phone number, email address, preferred contact method and language, company details if you provide them, and the details of the enquiry — preferred date and time, number of people, address, meals, selected dishes, budget and the text of your message. Information about allergens, diets and any other dietary or health restriction is not sent to Telegram: the alert only notes that you supplied it, and the information itself stays in our EU/EEA-hosted system.

This transfer outside the EU/EEA is made on the basis of your explicit consent, given when you tick the consent box and submit the form (Art. 49(1)(a) GDPR). You are informed that there is no data-processing agreement with Telegram and none of the Art. 46 safeguards apply, so such a transfer may carry an increased risk. If you would rather your data were not sent outside the EU/EEA, please contact us by phone or email instead of using the website form.

Hetzner Online GmbH (Germany; servers in Finland, EU/EEA) — website and systems hosting and data storage.
Brevo (Sendinblue SAS, France, EU) — sending transactional email (confirmations and replies).
Telegram Messenger (outside the EU/EEA) — internal staff notifications about new enquiries; the contact details and service details given in the form are transferred, except dietary and health information.
Accounting, legal and administrative service providers.
Delivery or service partners involved in fulfilling a specific request, where necessary.
State and municipal authorities where required by law or a lawful request.

Your Rights

You have the right to control the processing of your personal data to the extent provided by law.

Access your data and receive information about its processing.
Request correction of inaccurate or incomplete data.
Request deletion of data when there is no legal basis for further processing.
Request restriction of processing or object to processing based on legitimate interests.
Receive your data in a portable format where applicable.
Withdraw consent where processing is based on consent.
File a complaint with the Latvian Data State Inspectorate if you believe your rights have been violated.
